JR Academy Football Development is committed to safeguarding the personal information of our junior players and their families across Perth, Western Australia. We collect only information necessary to deliver safe, high-calibre football coaching programmes and secure session bookings.

  • We never sell or rent parent or child personal data to third parties.
  • Payment information is handled exclusively by Stripe; card numbers never pass through our servers.
  • All coaching personnel hold verified Western Australian Working with Children Checks (WWCC).

1. Introduction & Australian Privacy Principles

JR Academy Football Development ("JR Academy", "we", "us", "our") provides specialised junior football (soccer) coaching academies, school holiday camps, and weekly term programmes across the Perth metropolitan area in Western Australia.

We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), which regulate how Australian organisations collect, store, utilise, and disclose personal and sensitive information. Because our coaching programmes cater specifically to minors aged 3 to 16, we apply elevated standards of data protection and parental transparency.

2. Personal & Sensitive Information We Collect

To coordinate registration, ensure player safety, and maintain appropriate coach-to-player ratios, we collect the following categories of information:

Parent / Guardian Details

  • • Full name and relationship to player
  • • Email address (for term confirmations, tax invoices, and coaching notes)
  • • Mobile telephone number (for urgent ground weather updates and coordinator SMS)
  • • Billing address and transaction metadata (processed via Stripe)

Child / Participant Details

  • • Full name and age / date of birth
  • • Nominated age group and coaching term session
  • • Attendance records and weekly participation status
  • • Relevant medical notes, asthma/anaphylaxis management, or allergies (provided voluntarily with parental authorisation)

3. How & Why We Collect Information

We collect personal information directly from parents and legal guardians through our online booking portal at the time of term enrolment. We may also collect details through direct telephone, email, or in-person enquiries with our coaching directors.

The primary purposes for collecting this information are:

  • Administering and allocating coaching slots to maintain our 1:8 coach-to-player ratio.
  • Ensuring coaching personnel are apprised of any relevant medical considerations to safeguard the player's physical wellbeing on the pitch.
  • Issuing emergency notices, such as Perth extreme heat cancellations (38°C+ threshold) or venue alterations.
  • Facilitating secure online payments and automated tax receipts in Australian Dollars (AUD).

4. Payment Processing & Stripe Financial Security

All payments for JR Academy term programmes are processed directly through Stripe Payments Australia Pty Ltd.

Stripe PCI-DSS Compliance: Your credit or debit card details are encrypted using 256-bit SSL/TLS encryption and transmitted directly to Stripe's Level 1 PCI-DSS compliant infrastructure. JR Academy never stores, hosts, or has direct access to your cardholder account numbers or CVC security codes.

5. Photography, Videography & Media Policy

JR Academy occasionally captures photographs or brief video clips of training drills and small-sided games for player skill review, coaching syllabus development, and celebration on our official social media channels and website.

We deeply respect each family's right to privacy:

  • Children are never identified by their full name, home address, or school in any promotional material.
  • Parents may opt out of promotional photography at any time by notifying our coaching staff in writing via support@jracademy.com.
  • Upon receipt of an opt-out notice, our coaches will ensure your child is excluded from published media.

6. Disclosure to Third Parties & Cross-Border Data

JR Academy does not sell, trade, or licence personal information to advertisers or marketing entities. We disclose personal information strictly to:

  • Accredited Coaches & First Aiders: Necessary information (such as child name, emergency phone, and medical alerts) is provided to assigned coaches to ensure pitch safety.
  • Emergency Medical Responders: Paramedics, ambulance personnel, or hospital staff in the event of an urgent medical situation.
  • Football West (FW): When required for sanctioned tournament registrations, coach mentoring, or player development pathways.
  • Cloud & Infrastructure Providers: Secure hosting, transactional email delivery, and SMS dispatch services operating under contractual data protection obligations in compliance with Australian Privacy Principle 8.

7. Data Security & Working with Children Standards

We adopt robust technological and organisational measures to protect your personal information from misuse, interference, loss, unauthorised access, modification, or disclosure:

  • All data transmissions across our web portal utilise modern Transport Layer Security (TLS 1.3).
  • Administrative access is strictly restricted through role-based permissions and multi-factor authentication.
  • All JR Academy coaches and coordinators maintain verified Western Australian Working with Children Checks (WWCC) in accordance with Child Safe Sport WA.

8. Access to, Correction & Erasure of Your Information

Under Australian Privacy Principles 12 and 13, parents and guardians have the right to request access to the personal information held about themselves and their children, and to request corrections if information is inaccurate, out of date, or incomplete.

You may also request the deletion of non-essential registration records once coaching term commitments and legal tax retention obligations (seven years under Australian taxation law) have concluded.
